Other real estate virtual assistants I am friends with call me a systems queen because I am really really big on creating a system for each of my clients. At times I am sure it can seem tedious to them, but I know how important it is to have a duplicatable system to keep things running smoothly as you grow your business. These systems are what allow me to work with multiple agents at one time. It all comes down to organization and having a system that allows you to manage the projects effectively. Here are a few examples of how systems can help you to grow your business.
Listing Coordination – Systems are integral in reaching the number of listings you want. They help you to know exactly what is being done, when it is supposed to be done, and who is doing it. For instance, by making each item you do to market your listings a part of your listing system you will be able to rinse and repeat over and over again for each of your listings. A great listing system also significantly cuts down on the time it takes to market each listing and it creates a consistency your clients will appreciate.
Past Client Marketing – Do you have a system for following up with your past clients? If not, that could be why you aren’t seeing the repeat business your competitors are. You need to set up a system for following up with them so that you can just automatically do it when you are supposed to. With most buyers and sellers stating they would gladly work with the agent that helped them buy or sell their last home, you don’t want to be the one they can’t find or even remember.
Social Media Marketing – What about your social media? Do you have a system for getting content onto your social networks consistently? Most of you I am sure have a Hootsuite account. This makes it simple to schedule interesting articles to share and then just throw in some live updates a couple of times a day, respond to any mentions, messages, or retweets and you are set. The point is that you schedule what you can and make sure to schedule in time for interaction as well. No one wants a social robot, but planning ahead will keep you ahead of the pack!
As you can see, by creating systems, it frees up your time to focus on what you need to do to grow your business. And as we all know, that means getting face to face with your clients. So if you don’t already have systems in place, now is the time to take action and create the system for you!
